Westerville Public Library
Arts & Crafts Exhibition Policy
Purpose
To enhance and increase the community's appreciation of the arts, the Westerville Public Library shall provide display space for artists and crafts persons.
Conditions of Exhibition
- The Library Board policy shall be to encourage fair utilization of the display areas by a large number of artists and crafts persons in the community.
- The Westerville Public Library shall provide the following areas in the library for arts and crafts displays: the designated wall space in the meeting room, the designated wall space in the lobby, the glass case in the Adult Services Department, the glass display case in the Youth Department, small display case in the Ohio Room and the portable display panels. No other space or fixtures shall be provided to any exhibitor [e.g., shelves above the stacks, curved dividers].
- A designated representative of the library shall schedule displays in the library. Display space is reserved by completing a form supplied by the library. Reservations for display space shall not be made more than one year in advance.
- Prior to display, all exhibits must be approved by a designated representative of the library. Approval or disapproval is at the discretion of the library representative. The final authority for approving all exhibits is the Library Board of Trustees. The Westerville Public Library reserves the right to prohibit any person from displaying artwork and crafts in the library.
- All exhibits shall be set–up and removed on the dates determined by the library. The representative of the library shall supervise the set–up and removal of all exhibits.
- All exhibits must conform to the space restrictions of the display areas. Exhibits to be hung on the walls or display panels shall be done so securely and under the guidelines of the library.
- Prior to displaying, all exhibitors must sign a waiver form that releases the library from any responsibility for loss or damage to an exhibit displayed at the library.
- The library shall not be responsible for handling any money from the sale of items displayed at the library. Exhibitors who desire to sell items shall include as part of their displays information on how to purchase items. Any items sold during a display period shall remain on display until all items are scheduled to be removed.
- Exhibits in the meeting room shall be available to the general public only when no other meetings are in session. No meetings shall be interrupted to set–up, remove, or to view any exhibit while a meeting is in session.
- Display reservations are not transferable to another person.
- Library use of display areas take precedence over any other use and the library reserves the right to, without notice, cancel the use of the display areas by outside exhibitors if the Library Director or Library Board of Trustees determines that the display space is needed for library purposes.
- The Library Board of Trustees reserves the right to amend these regulations at any time. The Library Director may deny or cancel any application for reservation of art display space and may waive any display policy.
Scheduling Guidelines
Because of the large number of artists desiring to display at the Westerville Public Library, the Community Services Office of the Library has developed the following guidelines:
- An artist can exhibit on the curved wall in the library lobby once in a two–year period. After this two–year period, the artist will be eligible for consideration for this display space. Selection, however, is at the discretion of the Manager for Community Services.
- From time to time, the meeting room walls will be available for display. An artist who is not eligible to display on the lobby wall may be considered for displaying in the meeting room depending upon the established schedule and available wall space.
- In case of a cancellation of a scheduled month–long exhibit, the library reserves the right to arrange for any artist to display at that time, even if the selected artist has displayed once in the current two–year time period.
